Executive Assistant

Job Description

The Executive Assistant will manage and oversee the administration, maintenance, reporting, and closeout of all grants authorized by Shenzhen government and other funding agencies for Applied Psychology faculty. This role requires close collaboration with CUHKSZ financial office staff to ensure compliance, accuracy, and efficiency throughout the grant lifecycle. The focus will be on both pre-award and post-award processes and ensuring alignment with institutional and governmental requirements with faculty research needs. The majority of the work will focus on post-award processes.

Qualifications

1. Bachelor’s degree or above in public administration, business, finance, or a related field;

2. Minimum 1 year of experience in grant administration, preferably with governmental or nonprofit organizations;

3. Strong organizational and project management skills with the ability to prioritize tasks effectively;

4. Proficiency in grant management software/system and advanced MS Office skills;

5. Excellent Chinese and English written and oral communication skills;

6. Experience working with financial teams to manage post-award grant processes;

7. Knowledge of Shenzhen government grant processes is a plus.

Job Duties include

1. Oversee the grant lifecycle for research grants, focusing on administration, reporting, and closeout processes;

2. Serve as the primary liaison with the financial office for grant-related processes and documentation;

3. Maintain accurate and timely records of grant expenditures and reports;

4. Ensure compliance with Shenzhen government regulations and CUHKSZ policies for all grants;

5. Coordinate the procurement process for project-related purchasing activities; follow-up with recipients or contractors;

6. Review all grant-related payment requests, bills, invoices and statements; collect, organize and document all project-related receipts and invoices;

7. Analyze monthly financial reports, make corrections and report to grant income and expenditure as necessary;

8. Assist faculty in preparation of grant applications.

Salary and Fringe Benefits

Salary will be comparable to international standards, commensurate with experience and accomplishments. Appointments will be made under the establishment of CUHK-Shenzhen, and employee benefits will be provided according to the relevant labor laws of Mainland China as well as CUHK-Shenzhen regulations.
